Pricing Terms and Conditions
Last Modified: May 10, 2026 (clarified that new accounts are pre-paid on a calendar-month cycle with a carry-over credit voucher for mid-month signups; legacy accounts remain post-paid on the anniversary cycle)
Premium Accounts
Datamolino offers you the option of using the Datamolino for Business account for the range of services defined at Datamolino’s website. By doing so, your account will be converted to a Premium Account and will not be subject to some of the restrictions placed on Free Accounts as described below.
Datamolino accepts credit cards and will automatically charge your credit card monthly or yearly, depending upon which Datamolino for Business Account you select. If any fee is not paid in a timely manner, or Datamolino is unable to process your transaction using the credit card information provided, Datamolino reserves the right to revoke access to your Datamolino account and Files. If you do not bring your Datamolino balance current within five (5) days after Datamolino provides you with notification that your account is in arrears, Datamolino reserves the right to use our discretion to delete some or all of Your Files, and to convert your Datamolino for Business Account to a Free Account (which is subject to the restrictions described below).
Billing
Datamolino currently operates two billing models. Clients on our legacy plan continue on post-paid, anniversary-day billing. New clients sign up on pre-paid, calendar-month billing with a carry-over credit mechanism for mid-month signups. The model that applies to your account is shown on your “Account” page; the rest of this section describes both.
Legacy Accounts: post-paid, anniversary cycle
The fees for your Datamolino for Business Account are billed monthly or annually from the date you elected, or converted to, a Datamolino for Business Account, unless and until you cancel. Datamolino automatically bills your credit card at the end of each month or year on the calendar day corresponding to the day on which you commenced to use your Datamolino for Business Account. In the event your billing cycle would end on a day not contained in a given month or year, Datamolino bills your credit card on the last day of such month or year. For example, if your monthly billing cycle ended on January 31st, February 28th is the next time your credit card would be billed.
Should you elect to upgrade a Legacy Account to a different level of service, the commencement date of your plan will not change; we will apply the upgraded level of service retroactively for your benefit. For example, if you began your monthly billed Datamolino for Business Account on February 15th, your next payment would be due on March 15th. If on March 22 you upgrade to a higher level of service, you pay the new amount associated with the upgraded Premium Account at the end of the next running billing cycle, i.e. on April 15.
New Accounts: pre-paid, calendar-month cycle
When you subscribe to, or convert to, a New Account, Datamolino issues and charges an invoice immediately for the full monthly fee of your selected plan. Your included monthly document allowance is the full plan allowance from day one; it is not pro-rated for partial first months.
If you subscribe on the 1st of a month, you receive a single-line invoice for the full month.
If you subscribe mid-month, your first invoice covers the period from your subscription date through the last day of that calendar month, and is split into two lines:
- Plan Subscription: the portion of your monthly fee that corresponds to the days remaining in the current month, from your subscription date through the last day of the month.
- Carry-over credit: the remainder of your monthly fee, corresponding to the days from the 1st of the month up to your subscription date. This amount is saved as a voucher on your account, valid for one year, and automatically applied to your next invoice.
You pay the full monthly fee on the first invoice. The carry-over credit voucher does not reduce that first payment; it reduces your next payment.
For example, if you subscribe on 8 April on a plan priced at 45.00 EUR per month, your first invoice covers 8 April to 30 April and shows two lines: a Plan Subscription line for 34.50 EUR (the portion for 8 to 30 April) and a Carry-over credit line for 10.50 EUR (the portion for 1 to 7 April). You are charged 45.00 EUR. The 10.50 EUR is added to your account as a voucher. Your next invoice, issued on or shortly before 1 May for the full month of May, is 45.00 EUR with the 10.50 EUR voucher automatically applied, so you pay 34.50 EUR.
If your account already holds an active voucher equal to or greater than the carry-over portion of your first invoice (for example, a pre-paid yearly credit), no new carry-over voucher is created; your first invoice is issued as a single line for just the remaining-days amount.
After the first month, your billing cycle runs from the 1st of each calendar month through the last day of that month. Datamolino charges the full monthly fee on or shortly before the 1st of each month, in advance, for as long as your account remains active. Any active voucher on your account is automatically applied to the next invoice issued.
Upgrades on New Accounts. If you upgrade a New Account to a higher-priced plan mid-month, Datamolino charges the full price difference between the old and new plan immediately. That upgrade invoice is split into two lines using the same logic as the first invoice, calculated from the date you originally subscribed (not the date you upgraded):
- A Remaining days line: the price difference pro-rated for the days from your original subscription date to the end of the current month.
- A Carry-over credit voucher: the price difference pro-rated for the days from the 1st of the month to your original subscription date.
For example, if you subscribed on 7 April on a 7.00 GBP per month plan and upgraded on 8 April to a 17.00 GBP per month plan, the price difference is 10.00 GBP. Your upgrade invoice shows a Remaining days line of 8.00 GBP (24 days from 7 April to 30 April, at 24/30 of the 10.00 GBP difference) and a Carry-over credit voucher of 2.00 GBP (6 days from 1 April to 6 April, at 6/30 of the 10.00 GBP difference). You pay 10.00 GBP. The 2.00 GBP voucher is applied to your next invoice.
Applies to both models
You acknowledge that the amount billed each cycle may vary for reasons that include differing amounts of documents processed on top of your selected plan, differing amounts due to promotional offers, differing amounts due to changes in your account or plan, application of vouchers, or changes in the amount of applicable sales tax, and you authorize us to charge your credit card for such varying amounts. Datamolino may also periodically authorize your credit card in anticipation of account or related charges. All fees and charges are nonrefundable and there are no refunds or credits for partially used periods.
Datamolino may change the fees and charges in effect, or add new fees and charges from time to time, but we will give you advance notice of these changes by email. If you want to use a different credit card or if there is a change in your credit card validity or expiration date, you may edit your information by accessing your “Account” page. If your credit card reaches its expiration date, your continued use of Datamolino constitutes your authorization for us to continue billing that credit card and you remain responsible for any uncollected amounts. It is your responsibility to keep your contact information and payment information current and updated.
Cancelling Your Account
Your Datamolino for Business Account will continue in effect unless and until you cancel it or we terminate it. You must cancel before your account renews in order to avoid billing of the next month’s or year’s fees to your credit card. Datamolino will bill the monthly or yearly fees associated with your Datamolino for Business Account, plus any applicable tax, to the credit card you provide to us during registration (or to a different credit card if you change your account information).
Datamolino for Business Accounts are non-refundable. DATAMOLINO DOES NOT PROVIDE REFUNDS OR CREDITS FOR ANY PARTIAL MONTHS OR YEARS. Any unused voucher balance on your account, including any unused carry-over credit, is forfeited on cancellation and is not refunded.
For Legacy Accounts on the post-paid anniversary cycle, cancellation is effective at the end of the running billing cycle. For example, if your billing cycle starts on March 15 and you cancel on March 19, your cancellation is effective on April 15.
For New Accounts on the pre-paid calendar-month cycle, cancellation is effective at the end of the current calendar month. For example, if you cancel on March 19, your access ends on March 31 and you will not be charged for April. The full monthly fee already paid for the current calendar month is not refunded.
If you wish to cancel your Datamolino for Business Account you may do so via your “Account” page. Should you elect to cancel, please note that you will not be issued a refund for the most recently (or any previously) charged fees and you will still be charged the fee for the billing cycle during which you cancel.
By signing up for a Datamolino for Business Account and providing Datamolino with your payment account information, you hereby agree to these payment terms and conditions.
Free Accounts
Datamolino allows you to use a Datamolino account with limited service offering free of charge. Datamolino reserves the right to terminate Free Accounts at any time, with or without notice. Without limiting the generality of the foregoing, if a Free Account is inactive for ninety (90) days, then Datamolino may delete any or all of Your Files without providing additional notice.
