Convert historical statements. Fill bank-feed gaps.

Use bank statement conversion on its own. When your bank already provides a suitable transaction file, use that file rather than converting a PDF.

Start with the statement for the period.

Upload a bank or credit-card statement PDF to Bank Statements. Include every page, with readable transaction rows and balances.

Keep each company’s statements in its folder, separate from invoices and receipts.

Try a representative statement first.

Test a representative PDF and confirm the output format before a large batch. Contact support with the source statement when a result needs investigation.

Extract the rows you would otherwise retype.

Turn statement pages into transaction data for checking and bookkeeping.

Dates, descriptions and amounts.

Keep the date and payment description recorded on the statement. Convert money in and money out into rows you can review and export.

Follow the money through the statement.

Opening balance
£2,500
Office rent
−£850
Customer payment
+£1,200
Closing balance
£2,850

Opening balance plus money in, minus money out, should equal the closing balance. This checks the amounts, not every description or missing row.

Check the result against the statement.

Keep the source close while you resolve missing pages or amounts.

Confirm the period and the totals.

Compare the account, statement period and transaction rows with the original PDF. Investigate balance or transaction-total warnings before import.

Investigate before importing.

Check flagged amounts, missing pages and incomplete results against the source before using the data in your accounts.

Get the transactions into your accounts.

Choose the export path for your accounting software.

Download, then import.

Download CSV for Xero or QuickBooks and use that system’s bank-statement import process. Excel is also available for spreadsheet review.

CSV uses one signed Amount column. Excel keeps debit and credit amounts in separate columns.

Export to the matching bank account.

Send transactions directly to an existing FreeAgent bank account with the matching account number. CSV download is also available.

Check the account and date range.

Confirm the destination account and date range. Compare against periods already imported, especially when statements overlap or a bank feed resumes.

Categorise and reconcile the transactions in your accounting software.

Frequently asked questions

Can I use Datamolino only for bank statements?

Yes. Statement conversion works separately from invoice capture and approvals. Choose the subscription and usage for your statement volume.

Does this replace a bank feed?

No. Conversion works from the statement files you supply. A live bank feed remains a separate connection for new transactions.

What should I check before a large batch?

Test a representative statement, inspect the transactions and confirm the import format. Bank statements are charged per page, with separate upload and trial limits.

How are bank statement pages charged?

Bank processing is charged per statement page at your plan’s bank rate. The charge uses the same monthly processing credit as invoices and receipts, but a bank page is not charged at the invoice rate. Statement-splitting fees may also apply. Usage above the monthly credit is charged as overage.

Can my folder open straight into Bank Statements?

Yes. Set Bank Statements as the folder’s primary function. Opening that folder then takes you directly to its bank statement view. Other folders can use Purchases or Sales as their primary view.

Which statement files can I upload?

Upload complete, readable PDF statements. A PDF downloaded from your bank is preferable to a scan. Bank statement conversion does not accept standalone image files.

How do I import the transactions into my accounts?

Review the extracted transactions, then export CSV or Excel for import into your accounting software. FreeAgent also has a direct statement-export route to a connected bank account.

Does conversion reconcile or code my transactions?

No. Conversion extracts transaction data from the statement. Categorisation and bank reconciliation take place in your accounting software.

Is bank statement conversion available through the API?

No. The developer capture API supports invoices and receipts. Bank statement conversion is a separate workflow in Datamolino.
