We've been using Datamolino since 2017 and wouldn't be without it. The software integrates with Xero seamlessly and is a massive time-saver. The platform itself is very intuitive and easy to use. But perhaps most importantly, the customer service is first-class. I highly recommend this product.

I cannot fault the customer service. In a world where dealing directly with a human is becoming impossible thanks to cost cutting increasing the use of infuriatingly limited chat bot style help platforms from companies, Datamolino stands head and shoulders above the rest. Yes, they have a Chatbot but it is highly monitored by humans & rather than being designed to frustrate & block, it seems to serve more as a filter to make sure it gets the right human help quickly. I also liked the fact that the person that did the demo with me from a sales perspective has continued to be our main contact and help. That consistency is vital because they get to know your business and your specific little quirks which means, they can provide solutions that they would not otherwise be able to provide. I have also been blown away by how attentive their customer service has been despite us being the smallest of users. Even customising elements to accommodate complicated invoice formats from our suppliers which with any other platform, for such a small client, would incur some sort of customisation fee. The missing star in my rating is because unfortunately for our needs the app does fall short because the number of repeat purchases is considerably less for our business than others. We use product codes for everything we buy so whilst Datamolino will read the descriptions of the purchased items, manual intervention is required to link the product code in Xero to that description the first time it is processed in Datamolino. All fine and well for items purchased regularly but as a very small construction firm, there is only a small core of materials that are consistent across all projects. I'm sure Datamolino will come up with a solution for this at some point and at that point I will gladly alter my review and give them a dozen stars.

I've been using Datamalino for around 2-3 months, I did have a few teething problems getting use to using the software. However the team are very responsive, always willing to help. They will jump on a video call and discuss any issues you need help with live. This has been really helpful to me! I would defiantly recommend this product, it captures data and is a very smart tool to save time. I'd also recommend DataMalino due to the great customer service and also the competitive pricing.

Datamolino has been a great platform for simplifying our accounting process, as it accurately extracts data from invoices and pushes the invoices into our Xero without the need to review as it can be set to auto-extract and publish. This has saved hours of review and bookkeeping. Also, it doesn't charge extra for Description extraction making the data more useful once it reaches our Xero. OCR recognition is accurate. Easy to automate directly from inbox to Datamolino to Xero. Captures description of invoices at no extra cost.

Able to extract data from the financial document and populate information ready to be extracted onto the accounting software. Very important tool in help reducing workload as manual entry is kept to a minimum. No longer need for paper copies as the document are easy to view and access. Started to look for an AP automation tool, conducted several meetings with AP automation providers, and Datamolino managed to stand out from the crowd due the below mentioned reasons and not only : 1. Seamless integration with Xero at no extra cost. Certain AP automation providers will ask you for an implementation fee, or and extra plug in. 2. The best price wise service on the market. 3.Ability to capture multiple lines, and as well to develop further OCR queries within the platform, to serve that extra bit of complexity your business might need, especially if you're a retailing business. 4.Ability to create an unlimited number of folders for each department/stakeholder in the business. Each folder will have its own unique email address. 5.Last but not least - Despite her thorough knowledge and ability to foresee how the platform will serve your business, Lubica is an absolute pleasure to work with.

We have used Datamolino for years now, and have expanded it across 5 entities with great success in stream lining our processes and minimizing time needed within our accounting platforms which are all linked through QBO. Recently we had a login / authenticater issue which I called early EST to try to resolve. VxMail answered and I just hung up figuring Id call back a bit later. Low and behold ( Lu ) Lubica saw the missed call, and called me back a short bit later and helped work through the issue very patiently and completely. THAT is real top notch Customer Service which is greatly missing these days globally. Any and every time, this company has been responsive when we have had need, and for that they get a solid 5+ Stars from me!

Datamolino automates the processing of invoices and bills better than any other product we have tried on the market. They're extremely accomodating to the way that we want to work too. They've adjusted the software based on our recommendations a number of times. The biggest pro would be the invoice fingerprint feature, where new invoices can be set up with a template that enables documents of the same type to be automatically recognised and processed again in the future.

We have numerous companies set up in Xero and I was looking for a platform that could do line item extraction. This was the initial reason for the purchase. It does this fantastically and so much more!! I didn't realise that I can automate the process so that my bills can fly through to "awaiting approval" (or awaiting payment) now in Xero saving me tons of time by skipping the draft folder in Xero. Credit notes which were awkward in Xero are transformed seamlessly. Customer support was also a concern for me especially with larger software companies has been superb!! Friendly helpful and so quick to get back to me. They have also sent me out random tips that further enhances the experience that I did not even realise it can do. I would say that whatever you purchase Datamolino for you will find it does so much more - I am always finding new ways to use it and make the bill paying process faster and more accurate. Truly love this product and wish I had bought it from day 1 when I set up Xero!

Datamalino is remarkably accurate and efficient. I very rarely come across any errors or glitches. One of the big positives is the ability to find duplicates. Customer Service has always been very helpful and responsive. Although I did have quite a few login issues with the introduction of the two-factor authentication, these have now been resolved. I think Datamalino is one of the best on the market and would highly recommend it. Especially for companies processing a high number or invoices/receipts.

As an uploader of receipts, mostly, it could not be easier. When I occasionally need to go into the application to view or update a receipt, it's very easy to navigate. Datamolino takes one inconvenient aspect of running a business and magics it away almost entirely. So easy to use. When I encountered a bug in image uploads early on, the support team and developers were on it straight away and released a new version of the app to fix it.

Datamolino is an invoice processing Software that we use for all of our clients. We process a very high volume of invoices daily and this makes us so much more efficient as it recognises invoice formats and creates automated templates so you do no have to manually enter the generic invoice information (invoice numbers/dates etc.)! When it comes to getting support, they have a live chat function available throughout the day so you can ask for help with anything and you will always get an answer within minutes!

We had the opportunity to use Data Molino (linked to QB online) for a few months now and can only say it has helped our team immensely. Not only does it mean we no longer have to mess around with printing invoices out (having the electronic copy automatically attached to QB invoice is super helpful!) but also it has saved us tons of time which we now use to focus on other tasks. Extracting the data from purchase invoices is not always easy as many suppliers still carry on printing even after the ink has faded into oblivion. Was introduced to Datamolino about 18 months again and never looked back... having been involved in business processes and implementations of ERP systems in companies, I know a thing or two about workflows and processes etc. Datamolino is so simple, and means I have a paper free office. Yes. Paper free. What's more, regular friendly emails asking if everything is okay, makes them very easy to deal with. And, you can get to speak to someone within a couple of hours if you need to!!! Exactly how customer service should be :-)

June 2018: Datamolino is good for short supplier invoices, however, if you have more than three pages to an invoice, and you scroll down the invoice in preview to check the invoice lines have been captured properly, the right column of the scanned document disappears out of the top of the screen, and you cannot scroll it to match the left side of the screen... You need to be able to scroll the left and right columns independently. Major problem for large invoices with many lines to check. Update: if you open your PDF on another PC Screen you can compare that way, until the Datamolio guys allow for independent scrolling of the left and right columns... :0)

Perfect plug-in to an already very powerful system, Datamolino put credit card receipt tracking in the palm of your hand. Spend on your card, snap a picture of the receipt in their app on your phone and once you've set up the back end the transaction appear automagically ready to be logged as card transactions - no need click through another load of steps in Xero, they are just waiting to be reconciled. Equally, stay on top of your bills whilst on the road - forward invoices by email and they are sent through to your purchases tab (with a little pre-configuration) For the small business, staying on top of cash flow, book-keeping AND delivering their work, Datamolino is worth the small subscription fee.

Have reviewed three software apps then if you requirement is for line item extraction where nominal codes are remembered from line description Datamolino is the one to use. Also if you use tracking in Xero you can very easily create folders in Datamolino to correspond to tracking in Xero. You can then set supplier rules within each folder. If you have regular invoices from the same suppliers supplying the same product you very quickly get complete automation - it's fantastic!

I am a big fan of Datamolino. It has worked for me and a number of clients previously. Very easy to use and connect to 3rd party apps via the API. Feed is stable and doesn't have many issues. We use it for general invoice scanning but also for our credit card receipt reconciliations and it saves us hundreds of man hours each month. The team a really helpful and can't do enough for you. Easy to use and accurate. My only word of warning is that the default setting is to let Xero set the VAT rate / tax code (even if you have reviewed it in Datamolino). Once you update it for your clients though it is a great tool.

We’re a young medium sized company. As we grow, we are always looking to implement processes that are resilient, future proof and and make sense. Datamolino ticks all those boxes for us, and at a very reasonable cost. I particularly enjoy the functionality that captures vendor invoice line item info (although would be amazing if vendor stock codes could also be added to the template (perhaps an enhancement in the pipeline?). Auto export means that I am able to to easily email an invoice for scanning and OCR to Datamolino; and the data is automatically pushed back into Xero for final approval. Really useful app saves hours of data entry. Our only issue is that if an document is incorrectly uploaded there is no way to delete while it is processing ("fingerprinting"), and it will count towards your monthly document usage. When you are process 100s of documents a month there are bound to be a few uploaded in error.

Good app and better customer services. High level of accuracy, though not 100%! You still need to check that everything is right. I encountered a few errors when I first started using it. After that, you find your workarounds and works fine. Useful for cash and cards receipts. However I wouldn't use it for suppliers invoices. To make the most of Datamolino (and similar apps), an invoice from one supplier needs to be for the same service each month. There, you can automate and it goes quickly. However if a supplier sends several invoices a month, for different services that vary and you want to code differently, or even re-bill to different clients, in this case I'd use recurring invoices in Xero and the re-billing feature. Very effective, and quicker. It may sound as if I am trying to put people off but I am not! I think I have an issue with accuracy and I love analytical bookkeeping: everything in the right place, consistency, accuracy... Can you help, Datamolino? :-D

This is a bit of a game changer. It's an impressive app solution that transforms workflow. No need to tip out a month's worth of receipts of spend hours unscrewing them from a ball of paper. It saves a huge amount of time and means my bookkeepers can easily work on my account in their own time. Works with sales invoices and purchases and I don't understand why everyone hasn't bought in already. Give it a try - your receipts are stored in the cloud and are officially recognised by HMRC. Help is provided by lovely people - why wouldn't you I say?

Datamolino has changed the way I run my business, I can now operate at a speed and efficiency I couldn't before.
I update the bookkeeping for a number of clients; some of which use Datamolino and some use ReceiptBank. Once the 'fingerprinting' has been done for a particular document style Datamolino is much faster at processing invoices ready for you to review and export to Xero. I find the data extraction of invoice details to be more accurate in Datamolino. I also prefer their line item function and the Xero contact list integration also seems to be easier to update. The one thing which is occasionally a problem is that Datamolino can't process Word documents.

Best option for us and we did a lot of research before committing. We use it with all of our clients now. Staff are the best asset ... very helpful and regularly check to make sure all is going well. They even speak on the phone ... something a lot of software companies no longer do (although the live chat feature sorts out most questions). You feel like a real valued client rather than someone to bill each month. Our clients love it as well ... makes on boarding news clients much simpler. We previously used Receipt Bank, but we didn’t particularly warm to the staff there or their fee structure. The first thing we loved about Datamolino was the staff there, they are so enthusiastic and helpful, which is something very rare these days in any company it seems. As a comparative to Receipt Bank, often they did not even answer the phone and when they did they were nowhere as near helpful. Rufiz has spoken to me a number of times now and I am very pleased with him and Datamolino in general. I would recommend them to anyone, keep up the good work guys

We have found it very useful and accurate, saving us time on the processing side so that we can focus more on the higher level reporting and advisory.
As an outsourcing company we use Datamolino for all of our in-house book-keeping regardless of size and volume, so have built it into our standard process. We also push out to clients as much as possible, so that we can get more information on transactions by drilling down to the source document. As well as it providing efficiency for the clients. We have found it very useful and accurate, saving us time on the processing side so that we can focus more on the higher level reporting and advisory.
I added Datamolino to my process last week and so far so good, very intuitive, surprisingly accurate and flows seamlessly into Xero. Again, like others who have shared the experience of manually processing the invoices this has taken away all that laborious data inputting. I took over from my predecessor who used old school ledger books, I took on Xero from scratch 18 months starting off by adding the invoices in individually and then making ad hoc payments every day....so tedious?! Now, with the use of Datamolino, I can batch upload all invoices and produce a BACS file from Xero and make a single payment once a week.

I've been very impressed so far with the uploading of invoices and any issues have been resolved very quickly. Bulk scanned invoices take longer to be uploaded, but that is only to be expected as there is a lot of information to process. Suppliers who also use Xero now send their invoices direct to my Xero account which eliminates the possibility of 'lost or not received' invoices. Having all of the lined entries uploaded without the need to manually input is priceless. Their online chat support is quick and effective. I trialled several other data capturing services and found Datamolino the best for dealing with multi line invoices, foreign invoices and the most accurate for importing the correct invoice data (invoice number, date etc). So far very pleased.

I've been using Datamolino for a couple of months. Great Support team, good company to do business with. Great integration with Xero. Using Datamolino has enabled us as a company to 'go paperless'; we share invoices between directors 'in the cloud' and can quickly retrieve them for the VAT man. I've got tracking set up nicely, so that the gross profit margin of every job can be tracked (thanks to Datamolino) from within Xero. It's not all a bed of roses (and therefore I haven't awarded 5 stars) but it's pretty darn good software. Our suppliers struggle with the e-mail address for sending invoices into our account (@dtmln.com is quite a mouthful and not intuitive) but that is a one off thing for each new supplier. Things I would like to see are even quicker processing time (i often work at night when the datamolino team aren't working), ability to search more widely (say on project code or comments), the opportunity to flag up invoices I need to come back to to code/allocate to a project and, finally, the opportunity to delete documents that are waiting to be read by OCR (docs that shouldn't be there in the first place). Datamolino will keep improving and I really look forward to giving them 5 stars - cause they aren't far off now

Really great app, smooth integration with Xero, generally does a very good job of extracting data from files and really helpful and friendly support. The folders approach is also really useful for controlling where and who can put invoices into the system and who can see the data. Not perfect, I'd like to be able to edit the fingerprint myself, I'd like to be able to import sales credit notes through it, and I'd like to be able to rotate images in the window. But far, far, far better than Entryless which I was using before. I also like that the billing structure is more flexible than other providers.

Very impressed with the speed of the response. I was unsure if VAT is shown on the invoices whether it would import it with VAT for a company not registered for VAT. Although it shows VAT on the invoice in Datamolino (it the invoice states NO VAT as tax status in Datamolino) and it imports it with NO VAT into Xero.

However, so far so good, the software is flexible and easy to use and has streamlined the processing of my supplier invoices. I love being able to email the invoices directly into Datamolino, no more scanning off invoices for me. It's quite remarkable how Datamolino captures the detailed information and exporting into Xero is so quick. My boss is longing for a paperless office and loves the fact that he can approve the invoices in Xero. They have just recently added the ability to add in a custom description which is wonderful :) I also like that it has the ability to automatically enter in descriptions as per the invoice and use multiple lines. The quickness and accuracy with which Datamolino extracts data it brilliant it saves me a lot of time on the keyboard. It is very easy to use and to set up. I like that I can also up/downgrade my package as needed or pay for the 1 or 2 extra invoices without paying for a set number and not using it. It is very flexible and as a small business I need that.

Loving Datamolino, I've trialed many other options and this is by far the best on the market to date. To be honest I was wary of another app that claimed they could extract data accurately to Xero. DATAMOLINO IS FANTASTIC! I tried quite a few other add ons for importing purchase ledger invoices but this one is by far SUPERB! You have to be patient and allow Datamolino to set up your suppliers which can take up to 24hrs but once its done, its actually BRILLIANT. We are going paperless and I save so much time as I no longer have to key anything in. I have found the more I use it the better it is. Now it remembers repeat invoices and codes them correctly, it even works with different currencies. The customer service is great and the on line chat feature works very well when you first start using it, so any little queries are sorted out straight away. I would totally recommend this add on. So easy to use, accurate and saves loads of time.

I find Datamolino great! It's very easy to use without complicating the options as found in others. Once the fingerprint is set for a supplier the documents are often available shortly after, so no lengthy delays, and the supplier automation is fantastic! No hands! I've loved the Datamolino App from the day I started using it. Yes you have to do a little setup for the fingerprinting process to begin with, but that didn't take any longer than manually entering the invoice as normal. After that, processing time was reduced by more than 1/2. It's easy to scan multiple files and I have done groups of 20 at a time with only minor infrequent mistakes. The support is alway very quick in their response time and works very hard to promptly answer any questions, and follows up to make sure all is going smoothly. Been using it for nearly 6 months now & very impressed. As others have said it takes a few months to work at it's best till "fingerprinting" is done on all suppliers or customers. Once they're set up processing can take as little as a few seconds. I still get the occasional error but I'm sure that is common place amongst this type of add-on. Can confirm support is excellent & pricing structure for a bookkeeper is far better than the opposition.

The staff at Datamolino are brilliant, always doing their best to answer any queries or sort out any problems quickly. My only word of caution is that the prices they quote in GBP are for guidance only, as they invoice in Euros and the sterling equivalent will depend on the exchange rate on the day you pay the invoice.
Cracking application! Datamolino has allowed me to go paperless across multiple companies and process multi currency invoices in a much more efficient way, the year end audit will now be a breeze with all invoices attached and posted correctly. Plus the processing of invoices gets quicker and quicker. The line item function works really well even with large data invoices, the support team have been brilliant and quick in fixing any teething issues we've had! I've integrated Datamolino with ApprovalMax so now have a seamless paperless process from beginning to end which is fully ready for the audits! Can't recommend it enough!

Really loving Datamolino, it's taken what was an onerous weekly task of adding bills to our system and made it practically frictionless and easy. I auditioned a few similar bits of software, but Datamolino was the cleanest and most configurable I found. The delay when the first invoice from a new supplier is uploaded while its fingerprinted is a little annoying but actually results in a much better more reliable service over all so is well worth it!

The extracts work well and are very fast once the templates are set up (12-24 hrs for new suppliers/formats) Easy drag and drop interface or you can forward emails to an address. I like the fact you can choose if it posts immediately, or as a draft. Support is very responsive and cheerful. I'm definitely considering using it for more than one client now.

the Xero interface is seamless and almost immediate and the customer service from the Datamolino team is outstanding.
I was using receipt bank for a while but switched across to Datamolino to check it out. I soon moved across to Datamolino exclusively after a successful trial. It takes each new invoice a number of hours to process what they call the fingerprint, but once this is done, all subsequent invoices for the same supplier go through almost instantly which means that there is no stop-start to the bookkeeping process. I am particularly impressed with the line item function, which breaks down invoices into line detail so that I can easily split off each line into different accounts or cost centers. It also has an app that we use when I'm on the go.

I know it sounds cheesy but I love this app. It makes our life so much easier. Our clients, currently 13 actively using our datamolino account, also love how easy it is to scan invoices and upload them them 50 at a time in one pdf file and have them processed and checked for duplicates within minutes. I was a little concerned about one haulage client of ours that I had been trying to convert to using Xero for some 5 years and then they suddenly decided to move to Xero in the middle of their financial year. They had some 700-1,000 invoices per quarter, both sales (self-billing from various quarries) and purchase. How would datamolino cope with these quantities on top of everyone else they were dealing with. I can report it is simply brilliant. The client scans batches of purchase invoices and forwards them by email directly to datamolino where we simply check the extraction and push them into Xero. The self-billing quarry invoices are emailed weekly to the client by the relevant quarries who then forwards them on to us. We manually upload them in batches and almost instantly they are ready for Xero. It makes a huge client very simple to keep on top of and exceptionally cost effective. The only minor criticism of datamolino is that we can't, yet, email sales invoices into their system as it currently defaults to purchase invoices. That is why we upload the sales invoices manually - but still in batches of 20 or 30 at a time. I would never go back to doing this sort of thing manually. The clients are impressed at the speed and accuracy with which their invoices appear in Xero with a clear digital print of each and every invoice. The fact that datamolino also checks for duplicates before processing helps keep all the client books clean and accurate - to the point now the clients have mostly adopted a mantra with their own suppliers - if the invoice isn't in Xero then no payment will be made. I am constantly trying to get more of our clients to take up datamolino but unless there are significant quantities of invoices involved - they simply don't "get it" yet. Those clients that have "got it" are saving money on staffing (as are we) and have clean and accurate books with minimal effort. Xero and datamolino are a simply unbeatable, powerful, cost effective combination that every accountant and bookkeeper should embrace to raise their own profitability and ability to handle more and larger clients.

It's also meant that we're much clearer on cash flow and we're much more reliable at paying people because now we just forward supplier invoices to the Data Molino email address and the invoices get processed into Xero. Great software, great value, great support. The software is so easy to use, the layout is great so you can see everything you need on one page. There is no flicking between pages all the time, very time efficient. The pricing of Datamolino was the biggest selling point, it is priced on the number of transactions you use which makes perfect sense. You can have unlimited amounts of clients on here, if you don't use it for a month for one client then they don't charge for that client because there are no transactions. The common sense approach is great and appreciated. The support is second to none. They use a live chat system and always respond straight away. If you struggle to understand something they will walk you through the process and are always happy and willing to help. I wouldn't hesitate to recommend Datamolino to anybody.

We have been using Dataolino since February and we havent looked back, its such a great add-on, it takes alot of pain out of data entry and allows us to deal with bulk very efficiently. The software reads all of the key information on an invoice and the first line of the description which is adequate for my needs, the accuacy is very good and turnaround time is quick, If the fingerprint is in the system invoices are read promptly and can be ready for Xero almost instantly. If it requires manual intervention at Datamolino's end things can take a bit longer but its still within the timeframe that is published. There have been a few enhancements that have come on board since I have been using the service and this has been helpful, paticulrly if you send the invoice to the wrong folder (client) you are able to switch the invoice to another folder without having to re send it. I also use this function when I get invoices for mutiple sites on the same email I just forward it to one folder and then separate the invoices post scanning in Datamolino, doing it this way saves me time because I dont have to open every attachment that I receive from my clients via email and then forward it to the correct email address in Datamolino, this can take a fair bit of time if you have for example 10 attachments coming in from clients. The in app service is excellent and the team always respond very quickly to any of my queries and do their best to resolve any issues that may arise in a professional and freindly manner. I would highly reccommend.

I'm so happy I found the add on. We invoice off a different CRM system so rather than type out invoices again we send them over to Datamolino and they export them to Xero for us. What is pretty impressive is even if I change the format of the documents slightly (i.e multiple invoices per pdf or multiple pages per invoice) the accuracy of the data remains the same.The support is also very decent. I tip my hat :)

So far I'm impressed. I've been surprised by the quickness and accuracy with which datamolino extracts datas. I was worrying because I have complicated pdf in foreign languages but results are beyond my expectations and Datamolino already saved me a lot of time. So far integration and transfer to Xero is fast and without any issues to report. Works with purchases and sales invoices, which was a requirement for me. Very easy to use.
