QuickBooks Category details vs Item details for supplier bills

Use Category details when the line needs an account from your chart of accounts. Use Item details when it needs a product or service from QuickBooks, with fields such as quantity and rate. The choice follows your reporting and inventory setup. Capturing several invoice lines does not, by itself, decide which section they should use.

Does a detailed invoice always need Item details?

No. You can code several captured lines to different accounts without creating product records. Item details are useful when the product or service identity matters to the QuickBooks workflow.

Intuit distinguishes expense-account coding in Category details from products and services in Item details. Its UK support also places quantity and rate in the Item details section. Intuit’s expense guide and bill quantity and rate explanation show the distinction.

Check the QuickBooks setup first

Confirm the required Products & Services records already exist and are configured for their intended use. Inventory, purchase orders and other capabilities depend on the QuickBooks plan and region. A service item is not the same as a tracked inventory item.

If the Item details section is missing, check whether it is collapsed and review the company’s expense settings and subscription. Do not upgrade solely because a column is hidden. Intuit’s missing quantity and rate guidance starts with the bill form itself.

Set the Datamolino export to match

Two choices control different parts of the result:

  1. Export detail. Select Line items when you want each captured invoice line sent separately. This requires a subscription that includes line extraction.
  2. Purchase item type. Select Items when the lines should use QuickBooks Product/Service coding. Choose the applicable product for each line and check the captured quantity and price.

Datamolino shows Class, Location and Customer fields only where the corresponding QuickBooks settings are enabled. After export, use the QuickBooks link on the document to inspect the result in the correct company. The QuickBooks setup guide explains the available controls.

A small example: a box of fittings

A supplier invoice shows four boxes of fittings at £25 each, before tax. The captured data gives you a £100 line with quantity four and unit price £25.

If the business only needs a £100 materials expense, account coding may be enough. If it tracks “Fittings box” as a QuickBooks product, map the line to that Product/Service record and use Item details. Check the quantity unit: four boxes is not the same as four individual fittings.

On a later invoice, Datamolino can reuse coding for the same supplier and exact description. A configured keyword rule can cover a changing description. Review the match when a supplier changes its pack size, description or price basis. Saved line coding describes the matching mechanism.

Check mixed bills and purchase orders separately

A QuickBooks bill can include account-based costs and product-based lines. Do not assume that every capture tool can create every mixture through one export configuration. If a supplier combines stock, freight and services, include that invoice in the trial and confirm where each line lands.

The presence of item lines also does not prove that an export links to an existing purchase order. If purchase-order matching is part of the process, test that association and the resulting order status as a separate requirement.

Review one exported bill before saving a routine

  • Open the intended QuickBooks company and the exported bill.
  • Check the section used for each line, including any delivery charge.
  • Compare Product/Service, quantity, rate, amount and tax with the source.
  • Check any inventory or purchasing records that depend on the bill.
  • Keep the supplier automation only after the result matches the intended treatment.

What should I check for a stock supplier?

Check the Product/Service mapping, quantity, rate and tax in the exported bill. Then confirm the inventory and purchase-order workflow separately. A successful invoice export is not proof that an existing purchase order was matched.
