How to check invoice capture accuracy with your own documents

Test a representative set of your documents, define the required fields before reviewing output, and record both usable results and correction effort.

Define the work you are measuring

Choose the fields that make a document usable in your process. A straightforward invoice may require supplier, reference, date, currency and amounts. A detailed bill may also require descriptions, quantities and separate line values. Keep capture fields separate from the accounting coding your team applies later.

Write the expected value from the original source before judging the output. For ambiguous fields, record the agreed interpretation or mark the source as ambiguous.

Choose a representative sample

Include recurring suppliers, new layouts, receipt photos, long invoices, mixed tax presentation and multi-page documents when they occur in your work. Include a duplicate and a document with missing or unreadable information. Use documents you are authorised to process and keep the set controlled so a test does not create duplicate accounting entries.

Measure field correctness and usable documents

Count correct assessed fields and all assessed fields. Separately count documents that meet every defined requirement, documents that need correction, and documents that failed or remain pending. Record hands-on time to reach the same usable result.

Report the numerator and denominator with the document mix. The figures then show what the test covered and what work remained.

Inspect the accounting handover too

Check the resulting company, supplier, dates, accounts, tax, lines and source attachment in the destination accounting system. Repeat the test after setup on a later invoice from a recurring supplier. Keep one-time configuration work separate from routine handling.
